Refund & Cancellation Policy

1. Introduction

This Refund & Cancellation Policy (“Policy”) governs the terms and conditions under which refunds and cancellations are processed for services provided by Cognition Healthcare Systems (“we,” “our,” or “us”). By using our electronic health record (EHR) system, you agree to this Policy.

2. Cancellation Policy

2.1 User-Initiated Cancellations:

– You may cancel your subscription to our EHR system at any time by contacting our support team.

– To initiate a cancellation, please send a written request to admin@cognitionhealthcare.com

– Cancellations are effective immediately upon confirmation by our support team.

2.2 Company-Initiated Cancellations:

– We reserve the right to suspend or terminate your access to our EHR system for reasons including, but not limited to, violation of our Terms & Conditions, suspected fraudulent activity, or non-payment.

– In the event of a company-initiated cancellation, you will be notified via email and provided with the reason for the cancellation.

3. Refund Policy

3.1 Eligibility for Refunds:

– Refunds may be issued for cancellations made within the first 14 days of the subscription start date.

– To be eligible for a refund, you must provide a valid reason for cancellation and demonstrate that you have not utilized the EHR system extensively within the refund eligibility period.

3.2 Non-Refundable Services:

– Fees for services rendered, including setup fees, customization, and training, are non-refundable once the service has been delivered.

– Any third-party services or products purchased through our platform are non-refundable.

3.3 Refund Process:

– To request a refund, contact our support team at support@cognitionhealthcare.com with your account details and reason for cancellation.

– Approved refunds will be processed within 30 days of receiving the request.

– Refunds will be credited back to the original payment method used for the purchase.

4. Subscription Adjustments

4.1 Downgrades and Upgrades:

– You may request to downgrade or upgrade your subscription plan at any time by contacting our support team.

– Any adjustments to your subscription will take effect at the beginning of the next billing cycle.

– In the event of a downgrade, no prorated refunds will be issued for the current billing period.
